ReachMeridian LLC ("Meridian," "we," "us," or "our") is a New Jersey limited liability company operating under the trade name Meridian. We operate reachmeridian.com (the "Public Site") and portal.reachmeridian.com (the "Member Portal"), collectively referred to as the "Sites."
Meridian provides private, invitation-only music development and coaching services. This Privacy Policy applies to information collected through the Sites and in connection with our programs and services.
We do not sell, rent, or trade your personal information to third parties for marketing purposes. Ever.

Information We Collect
Information You Provide Directly
We collect information you voluntarily provide when you contact us, inquire about membership, or participate in our program, including:
- Full legal name and preferred name or stage name
- Email address and phone number
- Social media handles or artist profiles you choose to share
- Musical background, goals, and genre preferences
- Payment and billing information (processed through third-party processors; we do not store full card numbers)
- Signed agreements and contract information
- Session notes, written feedback, and progress documentation
Information Collected Automatically
When you visit the Sites, we may automatically collect certain technical information, including:
- IP address and general geographic location (city/region level)
- Browser type, operating system, and device type
- Pages visited, time spent on pages, and referring URLs
- Date and time of access
Member Portal Data
For members using portal.reachmeridian.com, we additionally collect:
- Login credentials (passwords are hashed and never stored in plain text)
- Session history and progress logs
- Uploaded profile images (avatars)
- Handbook access records
- Communications and change requests submitted through the portal

How We Use Your Information
We use the information we collect for the following purposes:
- To provide our services — scheduling sessions, tracking progress, delivering feedback, and administering membership
- To communicate with you — sending program updates, session reminders, invoices, and administrative notices
- To process payments — billing for membership fees, session fees, and transfer fees through our payment processor
- To maintain records — keeping documentation required for our business operations, including signed contracts and financial records
- To operate and improve the Sites — monitoring site performance, diagnosing technical issues, and improving user experience
- To enforce our policies — detecting and addressing violations of our Terms & Conditions and Membership Agreements
- To comply with legal obligations — retaining records as required by applicable law and responding to lawful requests
We do not use your information for automated decision-making or profiling.

How We Share Your Information
We do not sell or rent your personal information. We may share information in the following limited circumstances:
Service Providers
We work with trusted third-party service providers who assist us in operating our business, including:
- DocuSign — electronic signature processing
- LabelCaster — music distribution services
- Mercury — business banking
- Google Drive — secure backup storage
- QuickBooks — accounting and financial record-keeping
These providers access your information only as necessary to perform services on our behalf and are contractually required to protect it.
Legal Requirements
We may disclose information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Meridian, its members, or the public.
Business Transfers
In the event of a merger, acquisition, or sale of all or substantially all of the assets of ReachMeridian LLC, your information may be transferred as part of that transaction. You will be notified of any such change via email or notice on the Sites.

Data Retention
We retain personal information for as long as necessary to fulfill the purposes for which it was collected, including for the duration of your membership, and thereafter as required by law or our legitimate business interests.
- Active members: Information retained for the full membership term plus five (5) years for financial and contractual records
- Former members: Identifying information retained for three (3) years post-termination; financial records retained for seven (7) years per standard accounting requirements
- Confidentiality obligations: Records related to studio location and owner identity are maintained indefinitely in accordance with our security protocols
- Site visitors: Automatically collected technical data is retained for up to twelve (12) months
Upon request, we will delete personal information that we are not legally required to retain, subject to any applicable contractual obligations.

Security
We take the security of your information seriously and implement industry-standard technical and organizational measures to protect it, including:
- TLS 1.2/1.3 encryption for all data in transit
- Password hashing using secure algorithms (plain-text passwords are never stored)
- JWT-based authentication with 7-day token expiry for the member portal
- Firewall and intrusion detection on our server infrastructure
- Nightly encrypted backups to secure cloud storage
- Rate limiting and brute-force protection on all login endpoints
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately at contact@reachmeridian.com.

Cookies and Tracking
The Public Site (reachmeridian.com) may use minimal cookies or similar technologies for basic site functionality. We do not use third-party advertising cookies or behavioral tracking.
The Member Portal (portal.reachmeridian.com) uses session tokens stored in your browser's local storage to maintain your authenticated session. These are necessary for the portal to function and are not used for tracking purposes.
You may configure your browser to refuse cookies, though this may affect the functionality of certain features.

Third-Party Services
The Sites may use Google Fonts to load typefaces from Google's servers. This may result in your IP address being transmitted to Google. This is the only third-party resource loaded by default on our Sites.
Links to third-party platforms (such as social media or distribution services) may appear on the Sites. We are not responsible for the privacy practices of those platforms and encourage you to review their respective privacy policies.

Your Rights
Depending on your location and applicable law, you may have certain rights with respect to your personal information, including:
- Access — the right to request a copy of the personal information we hold about you
- Correction — the right to request correction of inaccurate or incomplete information
- Deletion — the right to request deletion of your information, subject to legal retention requirements and contractual obligations
- Portability — the right to receive your information in a structured, machine-readable format where technically feasible
- Objection — the right to object to certain processing of your information
To exercise any of these rights, please contact us at contact@reachmeridian.com. We will respond to your request within thirty (30) days. Please note that some requests may be limited by applicable law or our contractual obligations.

Children's Privacy
The Sites are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete that information promptly.
Individuals between the ages of 13 and 17 may only participate in Meridian programs with the express written consent of a parent or legal guardian, who assumes responsibility for compliance with these Terms and this Privacy Policy.

Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. For active members, material changes will be communicated via email to the address on file. Your continued use of the Sites following the posting of an updated Privacy Policy constitutes your acceptance of the changes.
